July 9, 2010
The
meeting was called to order at 10:30am by President Dave Christiansen
Members

read the June 10, 2010 minutes which were subsequently approved for publication.
Monty
Montenez then presented a revised May 2010 Treasurer’s Report, which provided
additional detail to reflect specific charges and credits from the
Del Rio
statement. There was some
discussion regarding the difficulty in tracking income and dispersement items
since some items are sent directly to Del Rio Administration (not to the
Treasurer) and some checks from Del Rio Administration are sent to the Treasurer
without detail necessary to enable the Treasurer to identify the source or
purpose of the payment. The Board
agreed that it was appropriate that Monty, Bill Tonge (because of his history
with the Group and the Treasury) and Mike Pimentele (previous Treasurer) meet
with Renee in Administration to see if procedures could be initiated to improve
the detail and tracking of various financial documents.
There was some question about the accuracy of the fund prior to January
2010, so it was felt that it would be appropriate for Mike Pimentele to be at
the meeting to discuss this issue. It
is obviously important that the Treasurer knows what payments or disbursements
are due and that there are procedures to confirm that appropriate payments are
made or received in a timely manner. It
was also suggested that Event Chairmen ensure that Event Summarys be given to
the Treasurer, which would include detailed accounting related to that event.
Monty then presented the 30 June 2010 Treasurers Report reflecting a
balance of $603.33
Dave
Christiansen then read a “Thank You” letter he had written to each of the
sponsor of the Senior Men’s Invitational.
The group has already received approximately $700 of $1,800 committed.
The balance has been billed to the various sponsors.
Sam
presented the Event Summary from the Blackhawk Home and Home, which went very
well, with 28
Del Rio
members attending. Don Wahl
questioned the accounting, but after careful review, the budget presented
appeared to be correct.
Gary
Dehart and Monty Montenez then presented an update regarding planning for the
upcoming Home and Home event with Blackhawk and Castlewood at
Del Rio
on July 23d. Although
Gary
will not be in town, Monty appears to have plans well in hand.
It was
noted that there was a $16 monthly bank charge on the Treasurers report.
Monty and Bill Tonge indicated that they would contact the Bank to
consider removing or reducing this charge.
There
was also some brief discussion regarding the Del Rio Board’s decision to test
hybrid
Bermuda
in the fairway on #1 Oak. It was
clear that the Senior Board wanted to ensure that the new sod was critically
tested and evaluated through the 2010/2011 winter at least, before any decision
might be made to move ahead with sodding any other fairways.
It also seemed clear that the Senior board would not support an
assessment to sod additional fairways without careful consideration of other
alternatives: such as staggering the replacement of fairways as the existing
buget allows or possibly extending the current clubhouse assessment for an
additional year.
The
Board voted to contribute $300 to a fund that Duncan Reno is building, to award
to Mitch to assist with expenses related to his participation in the PGA
Tournament this year.
The
meeting adjourned at 12:09pm and the membership retired to the dining room for a
much needed glass of wine, a bite to eat and some lighter conversation.
